Rules and Fees for Display Space

General exhibit space is available through the purchase of an 8-foot tablespace:


General Exhibiting:                 $600 US, includes one exhibitor badge and 1 table

                                       $500 US Early Registration


Each additional table              $150 US

3rd floor (6’ x 24’')

Information-only exhibits       $250 US      (see exhibitor rules 4. And 5.)

General Exhibit Rooms:

The general exhibit space will be on the 2nd floor of the L.A. Pittenger Student Center. See the floor plan at the link below labeled Floor 2.  The Forum Room on the south side of the building will host featured artist lectures and contributing artist lectures throughout the symposium.

Private Exhibit Rooms 

A limited number of private exhibit rooms, also located in the Student Center, are available on a first-come, first-served basis. Each private room includes the registration for one business, six tables, and two exhibitor badges. Each business must be registered to exhibit at the 50th International Horn Symposium.

Exhibitor Rules 

  1. All exhibitors must purchase tables to sell or display items at the Symposium.  Fees will not be reduced for an exhibitor who provides his/her own table(s), does not need table space, or does not participate for the duration of the symposium. Any additional space used by an exhibitor (e.g., displays, racks, tables brought by exhibitor), will be charged an additional fee and may not be permitted due to lack of space. If you have any questions, please contact the exhibits coordinator.  Exhibitors bringing their own tables for additional display space will be charged $300 for each table brought to the exhibit.
  2. Each exhibitor receives two badges with the purchase of one table and one additional badge with the purchase of additional tables. Exhibitors must purchase additional badges for members of their company to participate in the symposium.  A maximum of three total badges is permitted for each company, regardless of how many tables purchased.
  3. Each business must register individually to be represented at the horn symposium.  If your business is selling items for another company that will have representatives of its own at the symposium, you are required to register each company as an exhibitor.  Failure to do so will mean that the non-registered company will not receive recognition online, in the program book or during the symposium as being a participating exhibitor.
  4. Exhibitors may also purchase INFORMATION ONLY SPACE.  Exhibitors can have information about their company and products by sending materials (brochures, flyers, samples) that will be prominently displayed and replenished throughout the symposium.  
  5. Information-only space does not include a badge for exhibitors or entrance into the symposium.  Companies purchasing information-only space must ship items to the address given below, before July 1, 2018.  Items displayed will be arranged by the exhibits coordinator.  An additional fee will be charged for those companies wishing to have any left-over items returned.

All table coverings and display items are to be provided by the exhibitor. 

Internet Access

All exhibitors have access to Ball State University guest wifi network, BSUGuest. Simply select it from the list of available wireless networks. No authentication is required. Exhibitors are welcome to use a business or personal hotspot for internet connection as well.

Electrical Access

Power outlets will be available around the perimeter of the room in the exhibit spaces to provide electrical access to exhibitors.  Please bring any necessary chords.

Exhibits will set-up 8 am on Monday, July 30 and exhibitors are encouraged to give an approximate time of arrival so that staff will be able to assist in the unloading of items. Exhibit space will open at 1 pm Monday, July 30th.  There will be 20 student volunteer workers to help assist the set-up.

Exhibitors can park in Parking C-6 with a permit.  Permits can be purchased in the student center at parking services.  The permit cost TBA and location are not yet finalized.

Load-in will be on the south side of the Student Center.

Room Access

For the safety of all exhibitors and their property at the symposium: rooms will only be opened at the assigned times.  Neither the Exhibits Coordinator nor exhibitors will have access to rooms at any other time.  Please plan carefully.

 Storage and Care of Building and Equipment

No items shall be posted, tacked, nailed, screwed, or otherwise attached to any part of the walls, floor, or any other part of the building or furniture.  This, or any other act, which interferes with the proper protection of these properties, shall be at the expense of the exhibitor.


Liability and Insurance

The 50th International Horn Symposium, IHS, Ball State University, or any staff members will not be responsible for the safety of the property of the exhibitor from theft, damage by fire, accident, or other causes, but will use reasonable care to protect the exhibitors from such loss and will secure the building during those periods when the exhibit areas are not open to the public.

No responsibility is assumed for goods delivered to the exhibit area prior to the conference or materials in the exhibit area after the close of the exhibits.  Exhibitors must provide their own insurance.

Items arriving before the symposium will be securely stored and delivered to the L.A. Pittenger Student Center. Items will need to be acquired promptly at 8 AM on Monday, July 30, 2018, and moved to your vendor location.  Items should arrive no earlier July 25, 2018.  There is a post office in the student center on the first floor.

Exhibits close Saturday, August 4 at noon.  Break down of exhibits should be done by 4 pm Saturday afternoon. There will be 20 student volunteer workers to help assist the set-up.

Only items prepaid for shipping (UPS, FedEx, or USPS) and with a pick-up time for Monday, August 6, 2018, will be permitted to remain at Ball State after the close of exhibits. Neither the Exhibits Coordinator, Ball State University, or IHS can make for or on behalf of any exhibitor any payments to carriers.  If a carrier does not accept any box, the shipper will be notified and the box held for no more than one week.  After that, it will be disposed of, with no recourse to the Exhibits Coordinator, the hosts or IHS.  Any remaining items will be discarded.

Exhibitors must pick up any leftover trash, packaging materials, or unwanted items and dispose of them properly. Please leave your space as you found it. Failure to do so will result in cleaning charges billed by the exhibits coordinator.

Regulations and Contract

This general information and regulations for exhibitors become a part of the contract between the exhibitor and the 50th International Horn Symposium. They have been formulated for the best interest of the exhibitor.  We respectfully request full cooperation of the exhibitor in their observance.  All points not covered herein are subject to the decision of the Horn Symposium Host and the International Horn Society.


The Symposium Exhibits Coordinator will be handling all program book advertising for the annual symposium.  


  • All ads to be camera ready.
  • All ads to be actual size, and minimum of 300 dot/pixels per inch.
  • Ad layout formats accepted are: .tiff, .psd or PDF. PDF ads must be exported/created at the Press Quality setting. Ads in Word or Publisher are unacceptable.
  • Grayscale ads may be submitted in color, and can be gray scaled by IHS designer.
  • Bleed ads must keep live matter 1/4" from trim edges.
  • Trim Page size: 8.5" x 11" (21.6 cm x 27.9 cm)
